Insufficient income or savings proof

Income below the threshold, or correctly-totalled income that is evidenced poorly. Bank statements that don't clearly show regular incoming deposits, pension letters that are too old, or mixed income that isn't presented coherently. The consulate must be able to see the income clearly — a vague picture leads to refusal.

Documents not apostilled

An apostille is a specific international authentication certificate required for official documents used abroad. Your criminal record certificate and other official documents must be apostilled before being presented to the consulate. Many applicants simply don't know this — or obtain the wrong type of apostille — and their application is rejected as a result.

Documents not correctly translated

All non-Spanish documents must be translated into Spanish by a sworn (jurado) translator who is officially recognised by Spain. Using a non-certified translator — even a fluent bilingual — results in translations that are not accepted by the consulate. Online translation services or unaccredited translators are not acceptable.

Health insurance not compliant

Arguably the most common single rejection reason. Consulates require a full-coverage private health insurance policy with no co-payments, no exclusions for pre-existing conditions, no waiting periods, and valid throughout all of Spain. Travel insurance, basic international health plans, or policies with any co-payment element are rejected outright — even if they are expensive and comprehensive in other ways.

Criminal record certificate issues

The criminal record certificate must be from the correct issuing authority (FBI for US, ACRO/DBS for UK, RCMP for Canada, AFP for Australia), apostilled, and dated within the correct timeframe. You need one from every country you have lived in for 6 or more months over the last 5 years — not just your current country. Expired certificates, certificates from the wrong authority, or missing certificates for prior countries of residence all cause rejection.

Missing documents

An incomplete dossier — where one or more required documents are missing entirely — results in an immediate rejection. Consulates do not ask for missing documents; they simply refuse. Common missing documents include the medical certificate, one of the consulate forms, proof of accommodation in Spain, or the NIE (where required at point of application).

Proof of accommodation insufficient

You must demonstrate that you have or will have a place to live in Spain. An insufficient accommodation document — such as a hotel booking rather than a rental contract, or a rental agreement that is too short — can lead to refusal. Income too variable or source unclear

The consulate must be able to see that your income is passive, consistent, and sufficient. Bank statements showing irregular or unexplained deposits — without supporting documentation explaining the source — raise questions. Lumpy income (quarterly dividends, annual distributions) without context is often misread as insufficient. The presentation of income evidence is as important as the amount.

The Spanish consulate will issue you a written refusal (resolución denegatoria) in Spanish. The letter must state the grounds for refusal — the specific reasons why your application was not approved. Keep this document — it is essential for any appeal or reapplication.
